In this section, you will find links for various TAMU and federal web pages to assist you in preparing for your travel as well as links to help you prepare your request for travel reimbursement.  Since Texas A&M University is a state university, we are privileged to have access to use "state contracts" for the purpose of state business travel.  The use of state contracts for rental cars, hotels, and airfare may result in cost savings for your trip, so please check these sources before you finalize your travel plans.

Foreign Travel to a Country under a TRAVEL WARNING:  (Must follow these procedures)

FIRST ... review University Rule 21.01.03.M1 FOREIGN TRAVEL and the TAMU International Travel PagePrepare memo for routing and approvals as outlined below.  (This rule is in the process of being revised, more information will be available soon).

  1. Next, in order to receive presidential approval, the traveler must complete and sign an Acknowledgement of Risk and Liability Release form. This form must be submitted with the memo from the department head requesting approval for travel to a country under a travel warning.
  2. Complete the TAMU Foreign Travel Request (Intinerary) Form  (This is a TAMU Contract Administration form that should be completed whenever university administrators, faculty and staff travel to international destinations on official business or university sponsored trips. Its purpose is to keep track of us in case of an international crisis. NOTE: It is required for traveling to a country that is under a TRAVEL WARNING)

REQUIRED STEPS FOR DOCUMENTATION & ROUTING:

  1. Traveler prepares a memo requesting approval for his travel to a foreign country under a TRAVEL WARNING. This needs to includes the purpose of travel and scope of work. He must also complete the Acknowledgement of Risk and Liability Release form, and the TAMU Foreign Travel Request Form with the itinerary attached, and also attach a copy of the travel warning from the US Department of State's website. Then, he submits this to his Director or Department Head.
  2. The Director or Department Head reviews the memo and writes a separate memo giving his support of the travel and request for travel approval through the following approvers.

                          (if the traveler is a faculty member)
         Through:    Lori Mervish, Manager, Contract Services/Int'l Travel

NOTE: It is the responsibility of each employee or faculty member to be aware of any travel alerts or travel warnings listed for all foreign countries they plan to travel to!
